Students
The records of the Students data group detail key identity, address, and demographic data for students. Note that the Students data group contains records for HEP and VET students, depending on whether you are a provider of HEP, VET, or both. You can filter the records by Provider type to display only HEP or VET students.
Attention. A Students record has the extensions Citizenship, Disability, and Scholarships.
Follow the link for the E313 Student identification code to view the record details, including the fields and status of the extensions.
Code that uniquely identifies the student, such as 109987827.
Family name or surname of the student. 9999 if not provided.
First given name of the student. 9999 if not provided.
Students with only one name should be reported using E402 Family name.
Other given names of the student such as middle names. 9999 if the student has no other given names.
Date of birth of the student. 01/01/1901 if the date of birth cannot be provided.
Provider type such as HEP or VET.
The student's tax file number, such as 234614287.
Required if the student is accessing a HELP loan and has a tax file number.
The student's CHESSN, such as 4253678656.
Required only for Commonwealth assisted students.
If you do not submit a CHESSN it may be generated by TCSI if the following records have been submitted for the student:
- E313 Student identification code
- E314 Date of birth
- E402 Student family name
- E403 Student given name first
- E404 Student given name others.
In rare cases, a student's E416 Tax file number may also be required for TCSI to generate a CHESSN. You will receive a notification if an incorrect CHESSN is submitted for a student.
USI code allocated to a student by the government, such as AE54F66778.
Required for domestic and onshore international students.
Australian postcode where the student resides during term or period of study, such as 3228. 0000 if there is no information on the location of residence.
Required for all students who have a term-time address in Australia.
Australian postcode of the student's residential address, such as 3220.
Required for all students who are Commonwealth assisted or offered a Commonwealth scholarship and residing in Australia.
Residential address number and street of the student's residential address, such as 24 BEACH ROAD.
Required for all students who are Commonwealth assisted or offered a Commonwealth scholarship and residing in Australia.
Suburb of the student's residential address, such as TORQUAY.
Required for all students who are Commonwealth assisted or offered a Commonwealth scholarship and residing in Australia.
Australian state or territory of the student's residential address, such as VIC - Victoria.
Required for all students who are Commonwealth assisted or offered a Commonwealth scholarship and residing in Australia.
Code for the country of the student’s home residential address, such as 1101 - Australia. 9999 for an overseas country that is not classified.
Country codes are taken from the SACC (Standard Australian Classification of Countries):
Country code of the student's term-time address, such as 1101 - Australia. 9999 for an overseas country that is not classified.

Code that identifies the student's gender, such as F - Female.
You should determine the gender of the student where the information has not been provided. X should not be used as a default code when a student has not provided their gender as this could misgender the student.
Aboriginal and Torres Strait Islander code that identifies whether the student is of Aboriginal, Torres Strait Islander descent, or both, such as 4 - Torres Strait Islander origin but not Aboriginal. 9 for no information.
Code that indicates the student’s country of birth, such as 1101 - Australia. 9998 if there is no information on the country of birth or 9999 if there is no information on where the student was born.
Country codes are taken from the SACC (Standard Australian Classification of Countries):
Year that a student that was not born in Australia first arrived in Australia, such as 2016. 9998 if there is no information on the year of arrival or 9999 if there is no information on whether the student was born in Australia.
Empty if the student was born in Australia.
Code that identifies a language that is spoken at home, such as 0001 - Person speaks only English at permanent home residence. 9999 for no information or 9998 if the other language spoken is not known.
Language codes are taken from the ASCL (Australian Standard Classification of Languages):
Year in which the student completed their highest level of school attainment, such as 2010. 9999 if unknown.
Required for a domestic student.
Highest educational attainment of the first parent or guardian as identified by the student, such as 23 - Completed year 12 schooling or equivalent. 49 if not known and 99 if the information was not provided.
Required for a domestic undergraduate student.
For students with two parents or guardians only. Highest educational attainment of the second parent or guardian as identified by the student, such as 26 - Did not complete year 10 schooling or equivalent. 49 if not known and 99 if the information was not provided.
Required for a domestic undergraduate student.
Highest level of school attainment for the student, corresponding with secondary school year level, such as 10 - year 10. 99 if level is unknown.
Required for a domestic student.
Unique identifier for records that have been previously migrated from HEPCAT to TCSI.
Unique identifier from the student management system.
The date and time the record was last submitted. N/A if the record has never been submitted.
The current status of the record. The Record status table details the icon, label, description, and status bar colour for each status. Hover over the status icon to see detailed information.

A small triangle in the status bar indicates that the record has not been saved after making changes.
If selected, the record has been approved. The check box is disabled, greyed out, if:
- The data has unmet dependencies. For example, a student in Course admissions record has not yet been submitted to TCSI.
- The data is in progress of being sent to TCSI. That is, the status is processing.
