What is Submissions?
Submissions submits data from your student management system to TCSI according to the government's reporting requirements. Data consists of records for data groups such as Students, Campuses, Units of study, and so on. The structure of data groups and the required data elements is defined by TCSI.
Submissions can approve and submit records automatically. However, at first, you should approve and submit records manually until you are confident that the data is stable, and the common types of issues reported from TCSI are known and understood. When manually approving records, you can edit the records in Submissions.
On submitting a record, TCSI provides status information such as whether the record was accepted, submitted OK, or rejected. If a record is rejected, the status information provides detailed error information.
Submissions covers the following sectors:
- HEP (higher education providers)
- VET (vocational education and training). VET providers are approved for, or run courses which are approved for, VET Student loans.
Some providers are HEP (higher education providers) only, some VET (vocational education and training) only, and others may be cross sector. The sector of the provider is defined by your institution’s provider type as detailed in the PRODA settings. The range of data groups is determined by the sector of the provider. For cross sector providers, the content of groups is different according to the sector. Therefore, the correct sector must be selected for data groups that are present in both sectors.
The image Data flow illustrates the flow of data from the student management system through Submissions to TCSI. Note that TCSI uses PRODA for online authentication.
Submissions shows the records for each data group with the record status. For example, the image Example data group shows that the records in the Students data group all have the status - Submitted OK.
Notifications keep you informed about information from TCSI such as system outages, changes to the student's status, and submissions errors. For example, the image Notifications shows that all notifications have the category SIS, which means that the notifications are from the student management system.
