Records migrated from HEPCAT

Submissions does not have records previously migrated to TCSI from HEPCAT. Therefore, records updated in the student management system that were previously migrated from HEPCAT would normally result in duplicate errors when the records were loaded to Submissions and then submitted to TCSI. However, TCSI adds a UID to records, which Submissions incorporates into records loaded from the student management system. The UID enables the records in TCSI to be updated successfully.

The process below describes how a record previously submitted toTCSI from HEPCAT is updated and resubmitted to TCSI.

  1. The diagram Courses of study example record illustrates that a Courses of study record on the student management system has been submitted to TCSI. However, Submissions does not have the record.

The diagram Record updated and submitted, but duplicate detected illustrates that the Courses of study record is updated on the student management system and Submissions loads the updated record to the SMS table and then the Staging table. Submissions then submits the record to TCSI, however TCSI detects that the record is a duplicate and returns an error.

  3. The diagram UID from TCSI added to record and resubmitted illustrates that TCSI also returns the UID of the Courses of study record, which is then added to the record in Submissions. Submissions submits the record with the UID to TCSI, which results in the record in TCSI being updated successfully.
