How-to guides for admissions officers

Use the dashboard to monitor the health of desks. You can drill-down to view the health of individual desks and the folders of sections in the applications process.

Adjust the layout of the applications list. For example, choose which columns display on the applications list. From the applications list, you can review and move applications to folders in the applications process.

Attention.

Admissions officers require permissions to use the Applications app and the appropriate permissions to process applications at their desks.

The table Tasks details the common tasks when processing applications.

General

Assign a responsible person

Assign a responsible person to applications. A responsible person is a staff member with the staff remit of Application processor.

Complete applications

Complete applications to set the completion status to Sent to enrolment or Closed. For example, when an application has been rejected or withdrawn.

Delete an application Delete applications to comply with internal policies on data retention and data protection regulations.
Delete a person Delete applicant or staff member person profiles to comply with internal policies on data retention and data protection regulations.

Find applications

Find applications on the applications list or with application queries.

Manage documents

Manage documents applicants upload to support applications on the clearance check for the document upload or on the Documents tab.

Manage academic reviews

Request academic reviews, view recommendations, and complete or cancel academic reviews on the Reviews tab.

Move applications

Move applications to folders at the same desk or to folders at other desks.

Review applications

Review applications on the Applications overview page, which details the application status, statements and references, education and experience, clearance checks, and so on.

View events in the lifecycle

View lifecycle to track events for processing applications, such as when a clearance check was updated or the reason a decision failed to submit.

Decision making

Change decisions

Change decisions to customise decisions, such as edit the academic and non-academic conditions or change the conditions flow.

Make decisions

Make decisions to make offers or rejections on applications.

Respond to offers

Respond to offers to accept or reject offers on behalf of applicants.

Track offers

Track offers to view the status of the offer conditions for individual applications or multiple applications.

Lapse offers

Lapse offers where applicants did not respond to offers or did not respond to offers before a required date.

Unpublish decisions

Unpublish decisions to correct errors or change decisions.

Withdraw applications

Withdraw applications that no longer wish to continue.

Duplicate matching

Merge applicants

Merge applicants to archive duplicate applicants and move applications from the duplicate applicant to an existing applicant.

Unmerge applicants

Unmerge applicants that have been merged in error.
