How to delete a person

Person profiles record the details of applicants and staff members. Person profiles can be deleted to comply with internal policies on data retention and data protection regulations. For example, when a person asks for their records to be removed.

Delete a person to delete an applicant or staff member as follows:

Applicant

Deleting an applicant deletes the applicant's profile and all their applications. If an applicant's only application is deleted without deleting the applicant's profile, then their person profile still exists. Deleting a person deletes the person profile.

Attention If you delete an applicant with a status of duplicate, records previously related to the person cannot be unmerged.
Staff

Deleting staff depends on whether the staff member has applications and is assigned to other applications:

  • If the staff member has applications, then the staff profile, applicant profile, and all their applications are deleted.

  • If the staff member is assigned to one or more applications, such as a tutor, then the Identity tab and the Staff Details tab of their staff profile cannot be deleted. The staff profile can be manually edited to remove optional information.

Attention If the applicant is also a staff member assigned to applications, such as a tutor, their staff profile cannot be deleted. After deleting their applicant profile, edit their staff profile to remove optional information.

Delete an applicant or a staff member who is an applicant as follows:

  1. Find an application for the applicant. For more information go to How to find applications.

  2. On the application, select View profile for the applicant.

  3. On the applicant profile, select Manage account, and then Delete person.

Delete a person

Delete a person who doesn't have an application as follows:

  1. Find the person: on Create applications, define the search to find the person.

  2. View the person's profile: select the person's name to view their profile.

  3. Delete the person: select Manage account, and then Delete person.

Delete a staff member who is not an applicant

Attention If a staff member is assigned to applications, such as a tutor, then their staff profile can only be partially deleted. After deletion, edit the staff profile to remove optional information from the Identity tab and Staff Details tab.

Delete a staff member as follows:

  1. Find the staff member: on Create applications, define the search to find the staff member.

  2. View the staff profile: select the staff member's name to view their profile.

  3. Delete the staff member: select Manage account, and then Delete person.
