How to sort and filter records

You can sort and filter the records of a data group to view the records of interest.

Sort records

Go to the column header, such as Date added, that you want to sort the records by in a data group .

Filter records

Attention. You can filter the records in a data group by Error text as well as the columns. For example, filter by error text contains acronymCHESSN, to view all records with an error or warning related to acronymCHESSN allocations.

Filter the records in a data group as follows:

  1. Go to Field and select the column to filter on from the drop down list. For example, Status.

  2. Select the Operator such as equals =.

    Note that the filtering options depend on the type of data in the columns, such as dates or text as follows:

    Text

    Columns with text can be filtered using contains :, equals =, or not equal , such as contains the text smith. Note that the text is not case sensitive.

    Numeric

    Columns with numbers can be filtered with numeric operators, such as equals =, less than or equal <=,range, and so on.

    Boolean

    Columns with Boolean values can be filtered by one of the values, such as filtering the Approved column by Not approved to view the records that have not been approved.

    Dates

    Columns with dates can be filtered using equals =, less than <, greater than >, and range, such as filtering the Last submitted column by the range 19/05/2020 to 28/10/2020 to view records last submitted between these dates. Note that dates must be entered in the format DD/MM/y y y y or selected with the date picker .

    Empty and Not Empty

    All columns can be filtered using empty or not empty, such as filtering the Tax file number column by not empty to view all records that have a tax file number.

  3. Go to Filter to enter or select the data to filter on, such as Error.

  4. Go to the search button to apply the filter.

    In the image Active filters the active filters are available below the drop-down filters. Multiple active filters are listed horizontally across the screen. However, if all the active filters do not fit horizontally, the number of additional active filters are indicated by the numerical button, where the number indicates the number of hidden active filters.

    Go to the numerical button to display the hidden filters. Note that the numerical button then changes to the show less button, which returns to the single-line view.
