View and update the CoE status of an application, and inform the applicant about their CoE
|
Staff and applicants
Staff can now view and update the CoE status of an application in the applicant overview, and inform applicants of their CoE status.
A new CoE status tile on the Identity & Immigration tab allows staff to view the current or historic CoE status of an application. Staff can update the status to Ready for CoE, which means that the application is ready for the CoE to be issued. Applicants can view their CoE status on the applicant portal.
Once a CoE has been issued, staff can update the CoE status to Issued using the Upload CoE option. Staff can then upload the CoE document.
On uploading the CoE document, applicants receive an email notifying them that their CoE document is available to view and download. Applicants can view their CoE status and download the CoE document in the applicant portal.
To upload CoE documents, the document type CoE with the file type PDF must be added to the reference data Documents.
Emails notifying applicants that their CoE document is available are sent to applicants using the new CoE notification email and CoE notification email subject communication templates.

Staff require the following permissions in the Applications authorisation area to view and update the CoE status of applicants:

Integrations can retrieve the current or any historic CoE statuses of an application using the Visa sponsorship summary GET integration APIs.

Reset an application's CoE status
|
Staff can reset the CoE status of an application. For example, if a CoE has been issued for an application or if an application has been erroneously progressed.
A Reset CoE option is available in the CoE status tile on the Identity and Immigration tab of the applicant overview for applications with a CoE status of Issued. This sets the status back to Not started and removes the status from the applicant portal.
Attention.
The CoE document is still available for staff to view on the application and applicants to view on the applicant portal unless a staff member deletes the document.
Staff require the permission Australia Visa Requests – Edit to reset the status.

New CoE workflow actions and conditions
|
The following workflow event and condition are now available for CoE:
- HasCoEStatus

This condition allows users to create a workflow based on the CoE status of an application, such as Issued. If an application has multiple CoEs, the condition checks the current CoE and not any historic CoEs.
- CoE issued

This custom event allows users to trigger a workflow based on the CoE status of an application being Issued. For example, creating a workflow to set the Completion state to Sent to enrolment when the CoE has been issued. If an application has multiple CoEs, the event triggers for the current CoE only.

Staff can now view the CoE status of an application in the applications list of a desk. The column CoE status and have been added to applications list. The CoE status can also be used in advanced filters.
If an application has multiple CoE records, the status of the latest record is shown.

English - Australian translation for Visa sponsorship status

For staff using the language preference English - Australian, the Visa sponsorship status now shows as Visa required status wherever it appears in Admissions.
For workflows, a new IsVisaRequiredStatus condition has been added, allowing this field to be used as a condition in any workflow.

Task email notification

Applicants now receive email notification for all new types of tasks, including:

Document tasks, such as upload a passport

A new task notification communication template includes a list of all outstanding tasks. Applicants will only receive one email with all the tasks created within a 10 minute window.
Attention.
Emails include information about the applicant's name and associated courses. This data might be considered personal-identifiable information in some contexts.
