How to import applications from SITS:Vision

Attention. Before importing applications from SITS:Vision, you must ensure that you have a SITS:Vision account with permissions to use the Edge data transfer (XTED) screen.

Applications are imported in batches. Therefore, you must define the batch of applications in SITS:Vision and then set up the following pipelines to import the applications.

Import all applications to postgraduate courses for the 2022/3 academic year as follows:

  1. Day one afternoon. Create an application batch in SITS:Vision containing the relevant applications using the course application criteria and set up the pipelines.

  2. Day one night. Pipelines import the application batch from SITS:Vision.

  3. Day two morning. Check the status of the pipelines and address any errors.

Create application batch in SITS:Vision

Create the application batch to add the required applications to a batch as follows:

  1. In SITS:Vision, run the XTED (Edge data transfer) program. Then, go to Edge Data Transfer (MEN_XTED) and then Add Apps to Batch and then Course Application Criteria as shown in the image XTED Course application criteria.

    Define the criteria for adding applications to the batch. On Edit list of items (MEN_YDAL2), add the criteria as follows:

    • Add all applications to postgraduate programmes: set the MAS Course Code (acronymCAP_MCRC.CAP) to P.*. Note that most institutions use the MAS Course Code to denote the level of the programme, such as P for postgraduate.

    • Add all applications that have a status of applicant: set the Status Code (acronymCAP_STAC.CAP) to A.*.

    • Add all applications in the next academic year: set the Academic Year Code (acronymCAP_AYRC.CAP) to 2022/3.

    The image Edit list of items (MEN_YDAL2) shows the criteria for the application batch. That is, all postgraduate applications for the 2022/3 academic year. To confirm the criteria for the application batch, go to .

  2. Create the application batch: go to Create Batch and then select Run now, as shown in the image Create application batch.

  3. Wait for the application batch to be created. Any errors that occur during the application batch creation are also displayed along with the reason for the error, such as incorrect variables and so on.

Set up the pipelines

Set up the pipelines to import the application batch as follows:

Attention.

Note the following when setting up the pipelines:

  • The daily admissions sync and daily reference data sync pipelines must be scheduled to run before the admissions migration pipeline.
  • The pipelines should be scheduled to run overnight to avoid performance issues on the databases.
  1. Set up the pipelines for the supporting data. On Applications, go to Integrations and then Imports and then Pipelines. Then, select button go to and define the schedule start and end date, time, and time zone for the following pipelines:

    • Daily admissions sync

    • Daily reference data sync.

  2. Set up the admissions migration pipeline. In SITS:Vision, run the TAB (Transfer application batch) program. Then, copy the Batch Code for the application batch.

  3. Add the batch code and define the pipeline schedule. On Integration, go to Imports and then Pipelines and then Admissions migration and paste the batch code, such as E933EEFD-8BB3-489B-BD48-E4E4F3C0754C from SITS:Vision. Then, define the date, time, and time zone the pipeline will run.

Check the status of the pipelines

To check the status of the pipelines, after the pipeline schedules run, go to Integrations and thenImports and then Pipelines. If successful, the applications in the batch, that is, all postgraduate applications for the 2022/3 academic year, have been imported.
