Workflow examples

Tutorials on how to build workflows to automate processes. Workflows are created in the Application business entity or the Application clearance check business entity.

Application processes
Process Description

Add clearance checks to an application.

A workflow that runs when the applicant category is set to international on an application. If the applicant is international, then visa checks are added to the application.

Assign settings to new applications.

A workflow that runs when new applications are created and assigns the following settings:

  1. A desk

  2. A folder

  3. Clearance checks

Check for a desk change for applications before running a process.

A workflow that runs when the desk is changed on applications. If applications have moved from the Undergraduate health desk to the Medical school desk, then the workflow moves the applications to the folder New.

Check for a folder change for applications before running a process.

A workflow that runs when the folder is changed on applications. If applications have moved from the New folder to the Checks in progress folder, then the workflow adds a visa clearance check, a passport clearance check, and sets the application status to application in progress.

Move applications to folders.

A workflow that runs when an application completes a clearance check. If applications have passed the academic clearance check, the workflow moves the applications to the folder Ready for decision.

Check for the upload of conditional offer evidence documents before moving applications to a folder for review.

A workflow that runs when a document is uploaded as evidence for a conditional offer. When an applicant uploads a document as evidence for a conditional offer, then the workflow moves the application to a folder for review.

Process Description

Check for a clearance check status change before a process is run.

A workflow that runs when a clearance check is updated on applications. If a clearance check for criminal conviction on an application has changed status from Failed check to Passed check, then the workflow moves the application to a Further checks required folder.

Create document placeholders for clearance check documents.

A workflow to add a document placeholder to applications that have a passport clearance check.
