What is the integration with UCAS?

The integration with UCAS enables applications and reference data to be imported from UCAS. Admissions exports decisions, such as conditional offers, to UCAS when decisions are published to ensure that applications in Admissions and applications in UCAS are synchronised. Responses to applications must be imported from UCAS.

The integration with UCAS is through the UCAS XML-link service. The XML-link is a web service for institutions to retrieve applications and reference data. You can increment the reference data cycle to begin importing reference data for the next admissions cycle to view any changes before the next admissions cycle begins.

You can import individual applications, or all new and updated applications and reference data, on-demand. Applications are exported to UCAS on completion of specific actions, such as publishing decisions or withdrawing applications.

The options for importing applications and reference data are as follows:

Import all new and updated UCAS records
Imports all new and updated reference data and applications. Note that reference data is imported before applications.
Import reference data
Imports new and updated reference data. For details, go to What is the reference data imported from UCAS?
Import applications
Imports new and updated applications.
Attention.

Note the following when importing applications and reference data:

  • Reference data must be imported before applications.

  • Applications can be imported individually by defining the UCAS personal ID of the applicant and the application scheme code.

  • Imports cannot run concurrently.

On importing, the status of the import is displayed in real time. Any errors that occur during the import of applications from UCAS are logged in application errors. For more information, go to What are the application errors?

Import applications or reference data on-demand and view the status of any running imports. The date and time of the last import is displayed, along with the status of the import.
