How to make decisions

Decision making enables you to make offers or rejections on applications. For each application, you can view or change the main decision and additional conditions. Submit the decision to calculate the decision status and then publish the decision to send the offers or rejections to applicants.

Attention. When making decisions, you can do the following:
  • Make decisions for up to 50 applications using bulk actions.

  • Before submitting a decision on an individual application, you can remove additional conditions. On Decision making, go to the decision making menu button and then select remove additional conditions icon Remove additional conditions.

  • Before publishing a decision on an individual application, you can reset a decision. On Decision making, go to the decision making menu button and then select Reset decisions.

Make decisions on applications as follows:

  1. Choose the applications for decision making using the applications list or with application queries. For more information on finding applications, go to How to find applications.

    • On the applications list: go to the applications overview menu button and then select make decision icon Make decision. You can also select selection checkbox checked icon up to 50 applications to open the bulk actions toolbar and then select Bulk actions and then make decisions icon Make decisions.

    • On application queries: select selection checkbox checked icon up to 50 applications to open the actions toolbar and then select Actions and then make decisions icon Make decisions.

  2. Select the applications to make an offer or to reject. On Decision making, view the information about the applicant or applicants and applications, such as course, entry point, and so on. Then make an offer or rejection as follows:

    • For an individual application, go to the decision making menu button and then select view change main decision icon View / change main decision or view change addtional conditions icon View / change additional conditions.
    • For multiple applications, select selection checkbox checked icon up to 50 applications to open the bulk actions toolbar and then select Bulk actions and then change main decisions icon Change main decisions or change addtional conditions icon Change additional conditions.
  3. Make offers or reject the applications. On the Decision builder, complete each step as follows:

    Step 1 Decision type
    Set to Offer or Reject.
    Step 2 Make decision (optional)
    View the Decision, Decision text, and conditions flow of the decision.
    If required, you can change the Decision and the Decision text. You can also customise the condition flow of the decision by enabling Customise decision and then adding or removing conditions, included conditions, and so on. Go to How to customise decisions
    Step 3 Finish and apply
    Review the decision and then select Apply.
  4. On Decision making, submit the decisions to calculate the decision status as follows:

    • For individual applications, go to the decision making menu button and then select submit decision icon Submit decision.

    • For multiple applications, select selection checkbox checked icon up to 50 applications and then select Submit decisions.

    Attention.The main decision must be set before you can submit a decision.
  5. On Submit decisions, confirm the offers and rejections are correct and then select Submit.

    Attention.

    After submitting the decisions on individual applications, you can:

    • Resubmit decision, such as to recalculate the decision after adding qualifications or if the Submission status of the application remains at submitted submitted icon.
    • View event logs, such as to see why the submission has failed.

    After successfully submitting the decisions, the Submission status is updated to succeeded succeeded icon, and the Decision status is updated as follows:

    • Passed: the conditions have been passed.

    • Pending: the conditions have not yet been met. Note that academic conditions that are calculated as failed are shown as pending. This ensures that applicants with predicted grades do not show as failed before their actual grades are known.

    • Rejected: the application has been rejected.

    • Failed: the application failed the conditions of the offer.

  6. Publish the decision for an application. On Decision making, go to the decision making menu button and then select the publish decision icon Publish decision. On Publish decision, check that the decision that you are about to publish is correct, and then select Publish to send the decision to the preferred email address defined in the person profile for the applicant.

    Attention.You can only publish a decision if the offer libraries of the main decision and additional condition are approved.

Use Offer tracking to view the status of offers. For each offer, you can view the summary of the offer that details the decision status, main decision, and additional conditions. If required, you can manually override the calculated status of the decision and conditions. For more information, go to How to track offers.
