How to make credit offers

Attention.

The procedures describe how to make credit offers when the Credit transfer (New) method is enabled.

Credit offers are applied automatically based on precedents of granted credit offers. Admissions staff approve or reject credit offers. Admissions staff can also add credit offers manually. Admissions staff can create precedents when publishing credit offers.

Choose the application to make a credit using the applications list or application queries. For more information on finding applications, go to How to find applications. Then, on the Selection and credit tab, make credit offers as follows:

  1. View the credit offers

  2. Approve or dismiss precedents
  3. Add credit offers

  4. Send the application for a credit review

  5. Publish the credit offer

  6. Update the entry point

View the credit offers

Precedent credit offers and credit offers detail the following:

The status indicates the following:

  • In credit review: the credit offer has been sent for a credit review.

  • Precedent match: the credit offer is matched to a precedent.

  • Approved: the credit offer is approved and can be published to make the credit offer to the applicant.

  • Rejected: the credit offer was rejected.

  • Granted: the credit offer has been published to the applicant.

  • Accepted: the applicant has accepted the credit offer or

  • Declined: the applicant has declined the credit offer.

For precedent credit offer from external systems, the Precedent ID from the external system.

Credits awarded
The number of credit award from the units and unit levels detailed on the credit offer.
Number of units and Unit level
The number of units and the unit level of the credit offer. For more information, view the Offer detail.
Entry point
The entry point if the credit offer results in the entry point of the course changing. For example, the applicant will start the course at a later date. Otherwise, the entry point is Not changed.
Attention.

The entry point of the application is replaced with the credit transfer entry point if the application point is different and the applicant accepts the credit offer.

Reason for decision
The reason for the credit offer for future reference.
Offer details
The offer awarding elements, the units and the unit level, of the credit offer. Credit offers can have several awarding elements. The fields depend on whether the awarding element is a unit and the unit level and are detailed below.

Approve or dismiss precedents

Precedents are added to applications automatically. Approve or dismiss the each precedent credit offers as follows:

  1. Check the precedent credit offers that have the status Precedent match. Note that precedents from external systems have a Precedent ID

  2. View the credit offer details.

  3. Approve or dismiss the credit offer as follows:

    • tick iconApprove credit offer to set the status to Approved and move the credit offer to the section Credit offers.

    • cross iconDismiss to remove the precedent credit offer.

Add credit offers

Add credit offers to an application as follows:

  1. Add a credit offer. On the Selection and credit tab, select Add credit offer and define the following:

    Entry point
    Optional. If the credit offer results in the applicant starting the course later, then wait until the applicant accepts the credit offer to set the new entry point.
    Reason for decision
    Enter the reason for the decision.
  2. Add the units and unit levels of the credit offer: select Add units and Addunit levels.

Send for credit review

If you need confirmation on the credit offer, send the application for a credit review as follows:

  1. Send for credit review. Select the start review button and then Credit review, and Choose reviewers or Choose to delegate if you are unsure who should review the credit offer.

  2. Wait for recommendations. The status of the credit offer on the Selection and credit tab is In credit review. Go to the Reviews tab to view the status and recommendations of the credit review. The statuses are as follows:

    • Awaiting sent for review but not recommendations made yet.

    • Recommend the credit offer.

    • Reject the credit offer.

  3. Complete the review. On the Reviews tab, go to vertical ellipsis and then Complete credit review.

  4. Choose to publish the credit offer, edit, or reject the credit offer in-line with the recommendations from the review.

Publish the credit offer

Attention. Note that:
  • If a precedent contains external qualifications, you need to provide the institution code. However, if the course is internal, you need to provide the course code

  • If the qualification used for a precedent is internal, the data related to the qualification is retrieved using the MyInstitution value. Therefore, you can only have one institution setup, which is the usual case.

Publish the credit offer and optionally create a precedent for the credit offer.

  1. Publish the credit offer now or after you have received recommendations from the credit reviewers. Select the publish icon Publish credit offer.

  2. Optional. Select Create precedent to create a precedent using the qualifications from the credit offer. Then, define the precedent as follows:

    Precedent category

    Select the precedent category.

    Precedent type

    Select the precedent type, such as Admissions and Credit transfer.

    Precedent status

    Select the precedent status, such as Active.

    Precedent source code

    Select the precedent source code.

    Precedent start date and Precedent end date

    Enter the start and end date of the precedent.

    Precedent validity period start and Precedent validity period start

    Enter the start and end of the precedent validity.

    Precedent next review date

    Enter the date of the next review of the precedent.

    Precedent publish in website

    Select to publish the precedent on your institution's website.

    Authorising person

    Populated automatically, but can be changed if needed.

    For external qualifications only, define the following:

    Qualification title

    Title of the qualification from the qualification on the Education and experience tab.

    Qualification type code

    Select the qualification type, such as Academic qualification and Professional qualification.

    Qualification type group code

    Select the qualification type group.

    Qualification status

    Select the qualification status, such as Attempted and Verified.

  3. Select Publish credit or Publish credit offer with precedent as appropriate.

    On publishing the credit offer, an email is sent to applicants using the communication template Credit offer email. The status then changes to Granted.

Accept or decline credit offers

Applicants can then accept or decline credit offers on the applicant portal. After applicants have accepted the application offer, you can accept or decline credit offers on behalf of applicants.

Accept or decline a credit offer on behalf of applicants as follows

  1. Go to the Selection and credit tab of the application.

  2. On the drop-down menu of the button the publish iconPublish credit offer, select Accept credit offer or Decline credit offer as required. On accepting or declining credit offers, the status changes to Accepted or Declined.

Attention.

Once a credit offer has been accepted, declined, or rejected, the credit offer can't be modified or deleted. However, you can reject credit offers that have been accepted.

Update the entry point

If the applicant chose to accept the offer and the credit, you may need to change the entry point. For example, if the credit offer results in the applicant starting the course later. On the Selection and credit tab, go to vertical ellipsis and then Edit and select the Entry point.
