Applicant portal tasks update
|
There are a number of visual elements in the applicant portal that help applicants to understand the status of the tasks that they have been requested to perform so that they prove to admission officers that they meet the criteria required to receive an application offer. Some of those elements were not working correctly and they have been fixed:

Count of notification tasks.

A new badge with the number of pending tasks have been introduced at the top of each application tab, next to the name of the programme.

All tasks page is showing now all tasks correctly. Filters can show completed and pending tasks.

A timeline presenting a chronological view of the most critical events in the application lifecycle. This should provide an improved insight of the application status to the applicant, helping to reduce the amount of calls to the institution seeking advise about the status of the application.

Automated Linking of enquiry with UCAS application
|
When a UCAS clearing choice is imported to an application, the UCAS import process should try to find a matching clearing enquiry and populate the application ID on the clearing enquiry.

Creation of applications on the UI

Staff can now select to create either a clearing enquiry or direct application.
This can be accessed through two screens. Create applications, when they land on this screen the user will need to either select Full application or Clearing enquiry. Staff can also create a clearing enquiry via the programme profile screen by clicking on Create clearing enquiry.

Enquiry overview

Once an enquiry has been created, all details will be documented in the enquiries overview. This will include:
Staff can access this through the enquiry grid, by clicking on applications chevron which will take them to the enquiry overview.

|
Once the staff has created an enquiry, all unlinked enquiries will remain the enquiries grid until an application has been imported and linked. The admission team are able to view the enquiries from this grid.
In the side panel, there is a new option called Clearing. Below the clearing option is Enquiries which will contain all clearing enquiries waiting to be linked to an application

Clearing offer email

The applicant will receive a provisional offer letter which confirms their place. This will also contain instructions for their next steps.

Programme grid
|
The user can now see programmes which are available for clearing, enabled in reference data. They are able to search for a UCAS programme by using the various filters, UCAS course code or name. Once they have selected a course they are able to see the requirements of the programme and alternatives. They are also able to create a enquiries through the programme profile.
In the side panel, there is a new option called Clearing, below the clearing option is Programmes.

The following fields have been introduced for clearing:

- The following fields have been added:
- Is available for clearing: allows the programme to be available in the clearing programmes grid.
- Is open for clearing home: clearing programme available for UK and Welsh applicants.
- Is open for clearing international: clearing programme available for international applicants.
- Admissions programme
- Alternative programme - if a course isn't available for clearing by adding an alternative this would appear in the programme profile > alternative programme. This would need to be the current academic year.

Document intelligence enhancements
|
This feature introduces a series of improvements designed to make the document intelligence feature more useful, reliable, and easier to support:
- Improved deployment capabilities
- The system can now automatically manage the required training data at deployment for document types that requires a custom model. For example, English language tests.
- Configurable passport verification
- A new option allows passport record and Machine-Readable Zone (MRZ) data verification to be turned on or off as needed. When discrepancies are detected, an action is automatically triggered for further investigation.
- Enhanced metrics tracking
- The metrics feature has been upgraded to report on how often extracted data is used to create records, giving users better insight into the effectiveness of the document intelligence service.
- Improved event logging
- Event logs within the metrics feature now include record identifiers, making it easier to trace and troubleshoot issues.
- Streamlined navigation and management
- Navigation and managing associated documents between clearance checks and passport records within the identity and immigration tab has been improved. A new record highlighter also helps users quickly locate relevant clearance checks.
- Default status setting
- When a new clearance check is created, its status is now automatically set to New by default.

CAS creation not possible until application is eligible
|
Staff cannot create a CAS request until the Visa sponsorship status is set to Eligible.
The CAS request status tile on the Identity and immigration tab of an application will only show if the Visa sponsorship status is set to Eligible or if a CASalready exists for the application.
