How to process CAS requests

CAS requests created from applications are added to the Preparing folder in the Visa sponsorship app. This process describes how to prepare the CAS request by adding the information required by UKVI, approve the CAS request, and then assign a CAS number from UKVI to the CAS request.

Process CAS requests created from applications as follows:

  1. Log in with an account that has the permissions required to manage CAS requests in the Visa sponsorship app. Note that you may also need permissions to view applications and reference data in the Applications app to check information on the CAS requests.

  2. Prepare the CAS requests. Select the CAS requests for processing in the Preparing folder. Then, ensure that the CAS requests have the information required by UKVI.

    Attention. Information may be mandatory to save a CAS request and to submit a CAS request to UKVI as follows:
    • A red asterisk (*) means that the information is required to save the CAS request.

    • A warning triangle (warning icon) means that the information is required by UKVI to submit the CAS request.

    Saving CAS requests with all the information required by UKVI moves the CAS requests to the Awaiting approval folder.

  3. Approve the CAS requests. Ask another member of staff, as defined by your institution, to check and approve the CAS requests. The approver checks that the information is correct and meets the requirements of UKVI.

    • To approve one CAS request, select vertical ellipsis and then Approve for draft CAS.

    • To approve several CAS requests, select the CAS requests and then go to Bulk actions and then Approve for draft CAS.

    • To abandon a CAS request, select vertical ellipsis and then Abandon CAS request.

    Approving for draft CAS, moves the CAS requests to the Awaiting student approval folder.

  4. Get approval from students. That is, get the students need to check that the information on their CAS request is correct and then set the CAS request to Approved by student.

    • To set one CAS request to Approved by student, select vertical ellipsis and then Approved by student.

    • To set several CAS requests to Approved by student, select the CAS requests and then go to Bulk actions and then Approved by student.

    • To abandon a CAS request, select vertical ellipsisand thenAbandon CAS request.

    Setting CAS requests to Approved by student moves the CAS requests to the Ready to send to UKVI folder.

    Attention.

    To get student approval, contact the students and go over the information on their CAS request. However, Power Automate could be used to automate the process. For example, to send emails to students with information from their CAS requests.

  5. Create a CAS export file. In the Ready to send to UKVI folder, choose the CAS requests to include in the CAS export file and then go to Bulk actions > Create export file. Then, in the slide-in page Create export file, select Create export file (12), where 12 is the number of CAS requests to be exported to file.

    Creating the CAS export file moves the CAS requests to the Sending to UKVI folder.

    Attention.

    If there any errors, move the CAS request back to the Awaiting approval folder.

  6. Download the CAS export file. Go to the CAS export file page, check the status of the CAS export file is Ready to download and then select download file. After a few moments, the status changes to Downloaded.

  7. Submit the CAS requests to UKVI. On the UKVI portal, upload the CAS export file and then wait for UKVI to process the CAS request.

  8. On the UKVI portal, download the CAS import file from the UKVI portal. Then, import the CAS request file. On Visa sponsorship, go to Upload zip.

    Uploading CAS import file updates the status of the CAS requests and, where applicable, assign the CAS numbers. Assigning CAS numbers moves the CAS requests to the Assigned folder. On assigning CAS numbers, emails alert applicants t that their CAS number is available to download in the applicant portal.
