How to process CAS requests

Attention.

Your permissions define the actions that you can perform, such as edit a CAS request, abandon a CAS request, export CAS requests, and so on. For more information, go to Visa sponsorship permissions. If you require additional permissions, contact your system administrator.

CAS requests created from applications are added to the Preparing folder. CAS requests then move through the folders until CAS numbers are assigned as shown in the image CAS request process. Each folder has actions to move CAS requests to the next folder in process. Folders also have alternative actions that move CAS requests to back to the previous folder and abandoned CAS requests that are no longer required as detailed in the table Folder actions. describes how to prepare the CAS request by adding the information required by UKVI, approve the CAS request, and then assign a CAS number from UKVI to the CAS request.

The image CAS request process shows the folders for processing CAS requests. Select a step in the process to view the actions available for CAS requests in that folder.

To process CAS requests, log in and then go to the required folder to process the CAS requests as detailed in the table Folder actions.

Attention.

Select the CAS info icon to view information about a CAS request, such as the date and time the CAS request was created, and the sponsor licence number. This also includes details on the export and import files associated with the CAS request, which can also be downloaded.

View the CAS requests and the information required by UKVI.

  • Review several CAS requests: select the CAS requests and then go to Bulk actions and then Review CAS requests to open the CAS request shown in Viewing. You can change the application to review with the left and right arrows or with the Viewing drop-down list. Select Drop to remove the selected application from the bulk review.

  • Review a CAS request: find the CAS request application of interest and then select Review application.

Attention. Information may be mandatory to save a CAS request and to submit a CAS request to UKVI as follows:
  • A red asterisk (*) means that the information is required to save the CAS request.

  • A warning triangle (warning icon) means that the information is required by UKVI to submit the CAS request.

Saving CAS requests that have all the required information moves the CAS requests automatically to the Awaiting approval folder.

Abandon a CAS request: select vertical ellipsis and then Abandon CAS request

Awaiting approval

View and approve the CAS requests that have met the requirements for sending to UKVI as follows:

  • Approve several CAS requests: select the CAS requests and then go to Bulk actions and then Approve for draft CAS.

  • Approve a CAS request: select vertical ellipsis and thenApprove for draft CAS.

After approval, the CAS requests move to the Awaiting student approval folder.

Abandon a CAS request: select vertical ellipsis and then Abandon CAS request.

Move a CAS request back to the Preparing folder: select vertical ellipsis and then Move back.

Review CAS requests:

  • Review several CAS requests: select the CAS requests and then go to Bulk actions and then Review CAS requests to open the CAS request shown in Viewing. You can change the application to review with the left and right arrows or with the Viewing drop-down list. Select Drop to remove the selected application from the bulk review.

  • Review a CAS request: find the CAS request application of interest and then select Review application.

Awaiting student approval

View the CAS requests that have required student approval and set to approved by the student as follows:

  • Set several CAS requests to approved by student: select the CAS requests and then go to Bulk actions and then Approved by student.

  • Set a CAS request to approved by student: select vertical ellipsis and then Approved by student.

After student approval, the CAS requests move to the Ready to send to UKVI folder.

Abandon a CAS request: select vertical ellipsis and then Abandon CAS request.

Move a CAS request back to the Awaiting approval: select vertical ellipsis and then Move back.

Review CAS requests:

  • Review several CAS requests: select the CAS requests and then go to Bulk actions and then Review CAS requests to open the CAS request shown in Viewing. You can change the application to review with the left and right arrows or with the Viewing drop-down list. Select Drop to remove the selected application from the bulk review.

  • Review a CAS request: find the CAS request application of interest and then select Review application.

Not approved by student

View the CAS requests that were set to Not approved by student by a third-party application using the integration APIs. Set to approved by the student as follows:

  • Approve several CAS requests: select the CAS requests and then go to Bulk actions and then Approve for draft CAS.

  • Set a CAS request to approve for draft CAS: select vertical ellipsis and then Approve for draft CAS.

After approving for draft CAS, CAS requests move to the Awaiting student approval folder.

Abandon a CAS request: select vertical ellipsisand thenAbandon CAS request.

Move a CAS request back to the Awaiting approval: select vertical ellipsis and then Move back.

Review CAS requests:

  • Review several CAS requests: select the CAS requests and then go to Bulk actions and then Review CAS requests to open the CAS request shown in Viewing. You can change the application to review with the left and right arrows or with the Viewing drop-down list. Select Drop to remove the selected application from the bulk review.

  • Review a CAS request: find the CAS request application of interest and then select Review application.

Ready to send to UKVI

View the CAS requests that are ready for UKVI and export the CAS requests to a CAS export file to be used with UKVI.

Attention.

The CAS requests cannot be edited.

Export CAS requests to a CAS export file as follows:

  • Select several CAS requests to include in the CAS export file: select the CAS requests and then go to Bulk actions and then Create CAS export.

    Select a CAS request to include in the CAS export file: select vertical ellipsis and then Create export file.

On exporting CAS requests to a CAS export file, the CAS requests move to the Sending to UKVI folder.

To view a CAS export file: go to CAS export files.

Abandon a CAS request: select vertical ellipsis and then Abandon CAS request.

Move a CAS request back to the Awaiting student approval: select vertical ellipsis and then Move back.

Review CAS requests:

  • Review several CAS requests: select the CAS requests and then go to Bulk actions and then Review CAS requests to open the CAS request shown in Viewing. You can change the application to review with the left and right arrows or with the Viewing drop-down list. Select Drop to remove the selected application from the bulk review.

  • Review a CAS request: find the CAS request application of interest and then select Review application.

Sending to UKVI

View the CAS requests that have been exported to a CAS export file. To view the CAS export file that includes a CAS request, view the CAS request and the select the CAS info icon to view the CAS info panel.

Send CAS requests to UKVI as follows:

  1. Download the CAS export file. Go to the CAS export file page, check that the status of the CAS export file is Ready to download and then select download file. After a few moments, the status changes to Downloaded.

  2. Submit the CAS requests to UKVI. On the UKVI portal, upload the CAS export file and then wait for UKVI to process the CAS request.

  3. On the UKVI portal, download the CAS import file from the UKVI portal. Then, import the CAS request file. On Visa sponsorship, go to Upload zip.

    If required, you can download the CAS import for future reference.

Uploading CAS import file updates the status of the CAS requests and, where applicable, assign the CAS numbers. Assigning CAS numbers moves the CAS requests to the Assigned folder.

On assigning CAS numbers, emails alert applicants that their CAS number is available to download in the applicant portal.

No other actions

Assigned

View the CAS requests that have been assigned a CAS number from UKVI.

Attention.

Fields on the Accommodation and fees tab can be updated to allow CAS requests to be kept inline with changes that may have been made in the UKVI Sponsorship management system (SMS).

Archive the CAS request: select vertical ellipsis and then Archive.

Review CAS requests:

  • Review several CAS requests: select the CAS requests and then go to Bulk actions and then Review CAS requests to open the CAS request shown in Viewing. You can change the application to review with the left and right arrows or with the Viewing drop-down list. Select Drop to remove the selected application from the bulk review.

  • Review a CAS request: find the CAS request application of interest and then select Review application.

Cancelled, Expired, Obsolete, Used, Withdrawn

View the CAS requests that have been cancelled, expired, and so on.

Archive the CAS request: select vertical ellipsis and then Archive.

Abandoned

View the CAS requests that have been abandoned.

Archive the CAS request: select vertical ellipsis and then Archive.
