How to set up academic reviews

Attention. To set up academic reviews, you require permissions to edit reference data in Admissions settings, and permissions to use System admin and manage authorisation. If you do not have the required permissions, contact your system administrator.

Pre-requisites

The setup of academic reviews assumes that the following have been setup:

Academic reviewers
Staff for academic reviews have been added to Admissions using the Integrations APIs. Staff must also belong to groups in Azure Active Directory or the student management system, which have been added to Edge. For more information on groups, go to What is authorisation?
Admissions staff
Admissions staff have permissions to process application at the required desks. For example, applications officers have permissions to process applications at the desk MyReviews, but do not have permissions for academic reviews. For more information on desk-based processing, go to What is authorisation?
Entry points, programmes, and desks
Entry points define for the programmes and desks for applications that may require academic reviews. For example, the entry point Health Bsc - October 2024 is for applications to the courses Bsc (hons) Health, which are processed at the desk MyReviews. For more information on entry points and courses, go to What are courses?

Set up academic reviews

Log in as an Edge administrator and set up the academic reviewers and admissions staff. Then, set up the reference data for entry points, courses, and desks. Finally, select the communication settings that define whether to send review and delegation emails.

Reviewers

Set up the academic reviewers and credit reviewers as follows:

  1. Set up the authorisation for the group of academic reviewers. For example, assign the group to the role Academic Reviewer or Credit Reviewer. Then, set the required permissions as defined in Academic reviews permissions.

  2. Add the staff remit to the reviewers. On Applications, use the person search to find the staff and then select the person in the search results to open the person profile. Then, on the Staff details tab, select Add staff remit and select Academic reviewer or Credit Reviewer as required.

Admissions staff

Set up the permissions of admissions staff, such as applications officers, as follows:

  1. On System admin, go to Authorisation and then Permissions.

  2. Go to the authorisation area Admissions and then Applications and then Desk access for the permissions to apply to all desks or to specific desks. For example, if the admissions staff are assigned to desks in desk-based processing.

  3. Select the role assigned to the group of admissions staff, such as Applications officer, and select the following permissions as required:

    Academic review - Edit or Credit review - Edit
    Start an academic review or credit review of an application and add or remove reviewers to review applications.
    Academic review - View or Credit review - View
    View the information of the academic reviewers or credit reviewers assigned to applications.

    Note that credit reviewers also need permission to view or edit the Selection and Credits tab.

Entry points, courses, and desks

Set up the entry points, courses, and desks for reviews as follows:

  1. On Admissions settings, go to Reference data and then Applications,

  2. Create person collections with the academic reviewers. Go to Person collection and then select the button add to add a person collection. Define the following:

    Code
    Enter a unique value, such as CHEMREV.
    Description
    Enter a description that is used when selecting the person collection in a courses, such as Chemistry reviewers.
    Staff remit
    Select the staff remit as follows:
    • Academic reviewer (AR), where AR is the code of the staff remit in the reference data Staff remit.

    • Credit reviewer (CR), where CR is the code of the staff remit in the reference data Staff remit.

    People
    Add the reviewers as required.
    In use
    Select In Use so that person collection can be selected in the programme.
  3. On the entry point, set the number of required reviewers. Go to Entry points and select the required entry point, select Edit, and then enter the following:

    • Number of required recommendations for the number of required academic reviews.

    • Number of required recommendations for credit review for the number of required credit reviews.

  4. On the courses, set the person collection. Go to Admission courses and select the required courses, select Edit, and select the person collection, such as Chemistry reviewers in Academic reviewers.

  5. On the desk, enable academic reviews. Go to Desks, select the required desk, select Edit, and then select Academic reviews enabled and Credit review enabled as required.

Communication settings

Set up the communications settings for academic reviews as follows:

  1. On Admissions settings, go to Academic reviews and then button edit.

  2. On communications settings, enable the following as required:

    Send review emails
    Emails for reviews use the Notify staff of academic review request email subject and Notify staff of academic review request communication templates.
    Send delegation emails
    Emails for delegation use the Notify staff of academic review delegation email subject and Notify staff of academic review delegation communication templates.
