How to create clearing enquiries

Create a clearing enquiry using the clearing enquiry stepper that guides you through the process as follows:

  1. Start the clearing enquiry stepper as follows:

    • If you are ready to start, Go to Create applications and choose the creation type Clearing enquiry.

    • If you are browsing the programmes in clearing in Clearing and then Programmes, on finding the programme of interest select Create clearing enquiry, which opens the clearing enquiry stepper in a new tab.

  2. Complete the steps as detailed in the table Clearing enquiry to create a clearing enquiry.

    Choose creation type

    Select to create a Clearing enquiry.

    Who is applying?

    Find the applicant: enter the Full name or UCAS ID of the applicant. Enter the applicant's UCAS personal ID. If recognised by UCAS, the applicant's details are updated automatically.

    Then, Search and Select the applicant. If the applicant does not exist, select Create applicant and enter the applicant's details.

    Create applicant (only if selected in Who is applying?)

    Enter the following:

    UCAS personal ID

    UCAS ID of the applicant, if known.

    Personal details

    The applicant's Given names, Family name, and Gender. Optionally, enter the applicant's Preferred name, Title, and Pronouns.

    Date of birth

    The applicant's Date of birth and, optionally, Country of birth.

    Contact details

    The applicant's Email address, and optionally their Preferred communication language, Mobile number, and Telephone number.

    Community and nationality

    Optionally, the applicant's nationality and identity in Nationality 1 and National identity 1. For applicants with dual nationality, enter Nationality 2 and National identity 2.

    What qualifications to they have?

    Qualifications are freeform qualifications. Freeform qualifications are added manually and must specify at least the Subject title. Additional information can be included, such as the Qualification title and Result obtained.

    To add a qualification: select button add, and the enter Subject title and the additional information if available. After adding a qualification, you can delete or duplicate the qualification as follows:

    • Delete the qualification: go to the vertical ellipsis and then the delete buttonDelete.

    • Duplicate the qualification: go to the vertical ellipsis and then the add buttonDuplicate.

    What are they applying for?

    Define the programme details: enter the Programme and the Entry point. The UCAS course code is set automatically.

    Optionally, define the outcome as follows:

    Offer outcome

    Outcome of the enquiry, such as Successful or Request for more information.

    Offer approved by

    Name of the admissions officer that approved the offer.

    Enquiry notes

    Any relevant notes about the enquiry.

    You can then:

    • Create and view the clearing enquiry: select Create and view.
    • Create the clearing enquiry and add another enquiry for the applicant: select Expand iconand thenCreate and add another.
  3. Check that the clearing enquiry shows in the list of enquiries. Go to Clearing and then Enquiries.

    Attention.

    When the clearing enquirer applies to the application in UCAS, the enquiry becomes an application. However, if there is a mistake, you can manually link the enquiry to the correct application, which converts the enquiry into an application.
